Opportunities and campaigns
An opportunity is a deal you are working: a named customer, an expected value and a stage in your sales process. WorkOSync weights each opportunity by its stage probability to give you a forecast, lets you convert a winning one straight into a quotation, and ties opportunities back to the campaigns that sourced them so you can see what your marketing is worth.
Opportunities read the ERPNext engine when it is connected and fall back to demo data when it is not. They sit alongside the lead pipeline documented in CRM and leads: a lead is an unqualified enquiry, an opportunity is a qualified deal with a value and a close date.
The opportunities workspace
Open Run then Opportunities, or go to /opportunities. The page is titled Opportunities with the subtitle "Your weighted sales pipeline". KPI tiles: Open pipeline (total value of open opportunities), Weighted forecast (value times probability), Won this quarter and Win rate. A board view shows a column per stage with a card per opportunity; a list view shows the same data as rows. The header has a New opportunity button and a Campaigns link.
The weighted pipeline
Each stage carries a default probability. An opportunity's weighted value is its amount multiplied by that probability, and the weighted forecast is the sum across the pipeline, so a large deal that is only prospecting counts for less than a smaller one about to close.
| Stage | Meaning | Default probability |
|---|---|---|
| Prospecting | A qualified deal, early contact made. | 10% |
| Qualification | Need, budget and timeline confirmed. | 25% |
| Proposal | A quotation has gone out. | 50% |
| Negotiation | Terms and price being agreed. | 75% |
| Won | Closed and accepted. | 100% |
| Lost | Closed with no sale; a reason is recorded. | 0% |
Drag a card between columns (or change the stage on the card) to move a deal along; the weighted forecast updates live. Each opportunity holds the customer or lead, the expected amount and currency, the expected close date, the owner, the source campaign and a note history.
Converting to a quotation
When a deal is ready to price, Convert to quotation opens the estimate builder pre-filled with the customer and any lines on the opportunity. Sending the quotation moves the opportunity to Proposal, and when the customer accepts and you convert the quotation to a sales order, the opportunity is marked Won. The thread from campaign to opportunity to quotation to order to invoice stays linked throughout.
Campaigns
A campaign is a marketing activity (an exhibition, an email blast, a referral drive) that you attribute opportunities to. The Campaigns view lists each campaign with its Budget, the Opportunities and Pipeline value sourced from it, the Won value and a Return figure (won value against budget). Setting the source campaign on an opportunity is what feeds these numbers, so you can tell which activities actually generate revenue rather than just leads.
Working an opportunity
- Create or convert
Add a New opportunity for a qualified deal, or convert a qualified lead from CRM. Set the amount, close date, owner and source campaign.
- Advance the stage
Move the card through the stages as the deal progresses. The probability, and so the weighted forecast, updates with it.
- Quote it
At Proposal, use Convert to quotation to price the deal in the estimate builder.
- Close it
Mark it Won when the quotation converts to an order, or Lost with a reason. Campaign returns update either way.
Leads and the drag-and-drop lead pipeline live in CRM and leads; opportunities are the qualified deals with a value and forecast; and the quotation is where a deal gets priced and sent. One record flows through all three.
