Online store

The Online store connects your Shopify or WooCommerce shop to WorkOSync so one catalogue and one stock figure serve both the shop and the back office. Push your products out, keep stock in sync both ways, and let new web orders flow in automatically. Each order lands in a list to reconcile, and on reconcile it posts to the ledger as a tax invoice, exactly like any other sale. The books it feeds are in Accounting; matching the money that follows is in Banking and reconciliation.

Live engine or demo

Reconciling an order posts a real Sales Invoice only when the ERPNext engine is connected (live mode). In demo mode reconciling simply marks the order matched and posts nothing, so you can see the whole flow without a live ledger. Only the account owner or an administrator can change the store connection or reconcile orders.

Opening the page

Open Online store from the sidebar, or go to /commerce. The breadcrumb reads Industry · Commerce, the title is Online store and the subtitle is Connect Shopify or WooCommerce to push your catalogue, keep stock in sync, and sync new orders automatically for reconciliation.

Connecting a store

The Store connection card holds the link to your shop. Pick the Platform, enter the Store URL, and supply the credential your platform uses:

Credentials are stored encrypted and never shown back in full, only a masked hint. Use Save connection to store the link (it confirms with Store connection saved. New orders will sync automatically.), Test connection to check it, and Disconnect to remove the credentials.

Automatic order sync

Once connected, an Automatic order sync card shows the Webhook URL WorkOSync registers with your store. Your shop calls it the moment an order is created or updated, so orders arrive in real time; a scheduled sync then pulls anything the webhook missed. The URL carries an unguessable key that identifies your company, and WooCommerce webhook calls are verified by signature. Buttons let you Copy the URL or Re-register it with the store.

Public URL in production

The webhook must be reachable from the internet. In local development the URL points at localhost and the page warns you to set the public APP_URL so the store can reach it once deployed.

Pushing the catalogue and syncing stock

The Manual sync card runs each direction on demand:

Orders and reconciling to the ledger

The Orders table lists every synced order with its number, customer, total, status, source and when it arrived, and whether it is reconciled. An unreconciled order shows a Mark reconciled button. Reconciling (in live mode) posts a submitted Sales Invoice for the order against a single Online Store customer and confirms with Order {number} posted to the ledger as invoice {invoice}.; the row then links to that invoice in Invoicing. Un-marking an order clears the flag but never cancels an invoice already posted.

One revenue line per order

A synced order carries its total, so it posts as a single revenue line at the order value under the Online Store customer, with the order number and provider on the description. Orders in another currency are converted to AED at the default rate. This keeps online sales on the same books and the same VAT return as every other invoice.

A Sync activity log records each connect, webhook registration, test, push, sync and reconcile with an OK or Failed result, so you can see exactly what the integration has done.

Connecting a store end to end

  1. Connect

    Choose Shopify or WooCommerce, enter the store URL and credentials, and Save connection.

  2. Register the webhook

    Confirm the webhook URL is registered so new orders arrive in real time, backed up by the scheduled catch-up sync.

  3. Push and sync

    Push your catalogue to the store and run a stock sync so both sides start from the same numbers.

  4. Reconcile orders

    As web orders land, mark each reconciled to post it to the ledger as a tax invoice, then match the money in Banking.
